Outstanding Pet Care Admin Suite — QBO Integration

This Privacy Policy describes how Laura Laaman & Associates, LLC, doing business as Outstanding Pet Care ("Company," "we," "us," or "our") handles data in connection with the Outstanding Pet Care Admin Suite QBO Integration application (the "Application"), a private software application used solely by the Company and its affiliated operating entities to synchronize accounting data with the Company’s own QuickBooks Online company files.

1. Scope of this Policy

The Application is a private, internal tool. It is not offered to the public and is not used by any third-party customers. The only QuickBooks Online company files the Application connects to are those owned and controlled by the Company and its affiliated operating entities. Accordingly, this Policy concerns the Company’s own business and accounting data, not the personal data of external end users or customers.

2. Information the Application Accesses

In the course of synchronizing accounting information, the Application accesses the following categories of data from the Company’s own QuickBooks Online company files and internal systems:

  • Chart-of-accounts information (account names and identifiers), read in order to map internal general-ledger references to the correct QuickBooks Online accounts.
  • Aggregated accounting entries (journal entries) representing the Company’s daily financial activity, which the Application writes into the Company’s QuickBooks Online company files.
  • Authentication credentials (OAuth access and refresh tokens) issued by Intuit that permit the Application to connect to the Company’s own QuickBooks Online company files.

The Application does not read or collect customer personal information, payroll records, or individual transaction-level personal data from QuickBooks Online.

3. How the Information Is Used

Information accessed by the Application is used solely to perform the accounting-synchronization function — that is, to record the Company’s financial activity in the Company’s own QuickBooks Online company files. The information is not used for marketing, is not sold, and is not used for any purpose unrelated to the Company’s internal accounting operations.

4. How the Information Is Shared

The Company does not sell data and does not share data with third parties for their own purposes. Data is transmitted only between the Company’s Admin Suite and the Company’s own QuickBooks Online company files, through Intuit’s authorized API. Data may be processed by the Company’s infrastructure service providers (for example, cloud hosting and database providers) acting on the Company’s behalf and under obligations of confidentiality, solely to operate the Application.

5. Data Storage and Security

The Company maintains reasonable technical and organizational measures to protect the data the Application processes. Authentication credentials (OAuth tokens) are encrypted at rest using envelope encryption with keys managed by the Company’s cloud key-management service. Data in transit between the Application, Intuit, and the Company’s systems is protected using industry-standard transport encryption (TLS). Access to the Application’s administrative surfaces is restricted to authorized Company personnel. No method of transmission or storage is completely secure, and the Company cannot guarantee absolute security.

6. Data Retention

The Company retains authentication credentials for as long as the corresponding QuickBooks Online connection remains active, and removes or invalidates them when a connection is disconnected or is no longer needed. Accounting data written to QuickBooks Online is retained within QuickBooks Online according to the Company’s own record-keeping practices and applicable law.

7. Intuit and QuickBooks Online

The Application integrates with QuickBooks Online, a product of Intuit Inc. The Company’s access to QuickBooks Online data is authorized by the Company and occurs only through Intuit’s API. Intuit’s handling of data within QuickBooks Online is governed by Intuit’s own privacy policy. The Company is not affiliated with, endorsed by, or sponsored by Intuit.

8. Your Choices

Because the Application is an internal Company tool, authorized Company personnel may disconnect any QuickBooks Online connection at any time, which revokes the Application’s access to that company file and invalidates the associated credentials.

9. Changes to this Policy

The Company may update this Policy from time to time. The updated Policy will be posted at this URL with a revised effective date.
